Refund & Cancellation Policy

At K.C Cares for the Mind, we strive to operate our practice efficiently so we can provide timely, high-quality care to all our patients. To achieve this, we have established clear guidelines regarding cancellations, no-shows, and refunds.
1. Cancellations & Rescheduling
We understand that unexpected circumstances arise. However, because your appointment time is reserved exclusively for you, we require a minimum of 24 hours notice if you need to cancel or reschedule an appointment.
- Cancellations made more than 24 hours prior to the appointment will incur no penalties.
- Cancellations made less than 24 hours prior to the appointment are subject to a late cancellation fee.
2. No-Show Policy
A "No-Show" occurs when a patient fails to attend their scheduled appointment without prior notification. No-shows severely impact our ability to offer care to other patients in need. Patients who no-show for a scheduled appointment will be charged a standard No-Show fee, which is not covered by insurance and must be paid out-of-pocket prior to booking future sessions.
3. Refund Policy for Clinical Services
Due to the nature of psychiatric evaluation and medical management, we cannot offer refunds for clinical services that have already been rendered.
Fees are charged for the time and clinical expertise of the provider during the evaluation, regardless of the ultimate clinical outcome or whether a specific medication was prescribed. Our provider, Raissa D., NP, PMHNP-BC, makes clinical decisions based solely on medical necessity and evidence-based practice.
4. Overpayments and Administrative Errors
If a billing or administrative error occurs resulting in an overpayment (e.g., you were charged a co-pay in error, or paid out-of-pocket for a service later fully covered by your insurance), our billing department will issue a full refund for the overpaid amount to the original payment method upon verification of the insurance claim resolution.
5. Discharging of Patients
K.C Cares for the Mind reserves the right to formally discharge a patient from the practice in the event of repeated no-shows, late cancellations, or non-payment of clinical fees.
